1. Getting Started
How do I create my first timeline?
After signing up and verifying your email, just click the 'Add' button to create your first milestone.
Can I upload milestones in bulk?
Yes. Upload a CSV file via the 'Add' menu.
Important: dates must be in ISO format (yyyy-mm-dd). You can download a template from the same menu.
What is AI generation and how does it work?
Need a head start? Use the AI milestone generator to map out your project automatically. The more detail you provide, the better the output.
⚠️ Warning: Existing milestones will be overwritten when AI populates the timeline.
Can I edit AI-generated timelines?
Yes, absolutely. Click the milestone title to open the editor, or use the 'Milestones' menu to see the full list with edit icons for each item.
How do I save my work?
Your project timelines, teams, and portfolio data save to the cloud automatically — access your work from any device. Exports are also saved and accessible anytime from 'Cloud History'.
2. Account & Billing
What's included in the free trial?
You get 7 days. During the trial, you have 5 AI generations compared to 50 on Pro. Transparent PNG and SVG exports are Pro-only.
What happens when my trial ends?
You'll see an upgrade prompt. You can upgrade, delete your account, or just log out.
If you don't upgrade: you have 14 days to log back in. After 14 days, we automatically delete your account (you'd need to sign up fresh if you return).
What's the difference between monthly and annual plans?
No difference in features. Annual saves you two months' worth (same as getting 2 months free).
How do I upgrade to Pro?
Go to 'My Profile' → choose monthly or annual → checkout via Stripe. Once payment completes, you'll see a 'Pro' badge in your header and profile.
Can I cancel anytime?
Yes. Cancel anytime via your billing portal. You continue to have Pro access until your current period ends.
Do you offer refunds?
Please see our refund policy.
How do I delete my account?
Go to 'My Profile' → 'Delete Account'.
If you have an active subscription: cancel first via the billing portal. After your billing period ends, the delete option unlocks.

How many AI generations do I get?
- Trial: 5 total
- Pro: 50 per month
Monthly limits reset on the 1st of each month for Pro users.
What's the difference between trial and Pro features?
Trial (7 days free):
- 5 AI generations total
- Standard PNG exports (white background, Project Paced branding)
- Single project timeline
Pro:
- 50 AI generations/month
- Transparent PNG exports (no background, no branding)
- Vector SVG exports
- Manage multiple projects
Can I export my timelines?
Yes. PNG, CSV, or SVG.
What export formats are available?
- PNG: Raster image, great for presentations/documents
- Trial: Standard PNG with white background and Project Paced branding
- Pro: Transparent PNG (no background, no branding)
- SVG: Vector format, scales infinitely without quality loss (Pro only)
- CSV: Raw milestone data for Excel/Sheets
💡 Tip: Exports match your current theme (light/dark mode). Switch themes before exporting to get your preferred look.
Are there any cloud storage limits?
Yes, storage limits vary by plan:
- Trial: 5MB
- Pro: 10MB
- Enterprise: 50MB
Storage is used for your project timelines, team data, portfolio data, exports, and CSV uploads.
Can I share my timelines with others?
Not yet. Export your timeline and share the file however you'd like (email, Slack, etc.). Native sharing is on the roadmap.

What enterprise features are available?
Enterprise includes everything in Pro, plus:
- Resource Allocation & Capacity Planning — Manage team workloads across projects
- Portfolio Overview — Multi-project matrix and timeline views
- Project Health Dashboard — FTE metrics, concentration scoring, key person risk detection
- PDF Reports — Multi-page professional reports with cover page, timeline visualization, and capacity analysis
- Volume Licensing — Minimum 5 seats with volume discounts

What is Resource Allocation?
Create team member profiles with departments and maximum capacity. Assign resources to projects with time-based allocation periods (e.g., "40% from March to June"). The system automatically detects over-allocation (>100%) and tracks peak capacity across your entire portfolio.
What is the Project Health Dashboard?
Real-time insights into your project status:
- Resource Coverage: FTE calculation, team size, department mix breakdown
- Timeline Health: Duration, milestone count, milestones per month, days until next milestone
- Team Distribution: Concentration score (0-100), key person risk detection (flags individuals with >50% of project allocation), available capacity across team
What is the Portfolio Overview?
Two ways to visualize resource allocation across all your projects:
- Matrix View: Resource-project grid showing allocation percentages per person per project
- Timeline View: Gantt-style visualization showing who's working on what, when — with over-allocation highlighting in red
Both views support date range filtering and click-through to individual projects.
What export formats does Enterprise include?
Everything in Pro (PNG, SVG, CSV), plus:
- Multi-page PDF Reports — Professional documents with cover page, embedded timeline visualization, summary tables, resource allocation breakdown, and capacity analysis. Perfect for board presentations and stakeholder updates.
Do you offer team licenses?

How does enterprise pricing work?
We offer volume-based discounts starting at 5 seats. Pricing depends on team size and contract length. Email sales@projectpaced.com with your requirements for a custom quote.
Can team members collaborate on timelines?
Enterprise users can view portfolio-wide resource allocations across all team projects. Real-time collaboration on the same timeline (multiple editors) is planned for a future release.
How do I add/remove team members?
Email support@projectpaced.com for seat changes. No mid-contract refunds for removed seats.
5. Technical Questions
Which browsers are supported?
All major browsers (Chrome, Firefox, Safari, Edge).
Is my data secure?
Yes. See our Privacy Policy and DPA for full details.
Where is my data stored?
Google Cloud (Firebase). Full details in our Privacy Policy.
Do you have a mobile app?
Not yet, but the web app works great on mobile. Best on tablets due to horizontal timelines.
Can I work offline?
No. You need an internet connection.
6. Troubleshooting
My AI generation isn't working
Check the counter above the AI prompt to see if you've hit the limit (5 for trial, 50/month for Pro). Monthly limits reset on the 1st of each month for Pro users.
I can't log in
Did you verify your email? Check spam folders for noreply@projectpaced.com (mark as not spam).
My timeline isn't saving
Your data saves to the cloud automatically. If changes aren't appearing, check your internet connection and refresh the page.
Export isn't working
Make sure the timeline is visible. Exports auto-save to your browser's downloads folder.
I didn't receive my welcome email
Welcome emails send once you verify your email. Check spam for emails from the @projectpaced.com domain.
7. Privacy & Security
What data do you collect?
Just the essentials:
- Account: Email, name (optional)
- Project Data: Your timelines
- Team Data (Enterprise only): Team member profiles, resource allocations, and capacity planning data
- Billing: Stripe handles payments — we never see your credit card
- Usage: Browser type, basic analytics
How long do you keep my data?
- Active Subscribers: Duration of your subscription plus 30 days after cancellation
- Trial Accounts: Delete after 14 days of inactivity
- Backups: Encrypted backups kept 30 days
What happens to my data if I delete my account?
- Immediate: Access revoked, profile and associated data deleted (irreversible)
- Exception: UK tax law requires financial records kept 6 years (anonymised)
Do you sell my data?
No. We build tools, not ad profiles.
Are you GDPR compliant?
Yes:
- Portability: Request your data anytime
- Erasure: Request deletion anytime
- Minimal data: We only collect data we need
- EU Hosting: Google Cloud (GDPR-compliant DPAs)
